Director of Human Resources & Payroll In Person: Charlottesville, VAReports to: Senior VP of Finance

The Director of Human Resources & Payroll is responsible for the full ownership, execution, coordination, and oversight of all Human Resources, Payroll, Benefits, Compliance, Leave Administration, HR Systems, Employee Relations, Recruiting Support, and Workforce Administration functions across Extraordinary Brands. HR Leadership & Organizational Support* Support leadership on employee-related decisions, documentation, and compliance concerns * Interpret and apply company policies, procedures, and employment practices consistently across teams and locations * Support organizational structure, handbook, role alignment, compensation discussions, and workforce planning needs * Provide guidance to managers regarding employee performance, conduct, attendance, corrective action, and documentation * Maintain professionalism, confidentiality, and consistency in all employee matters * Support requests and operational needs from multiple departments and leadership teams

Employee Relations & Risk Management

* Conduct and document investigations involving employee complaints, conduct concerns, attendance, policy violations, and workplace issues * Prepare disciplinary action documentation, written warnings, corrective action plans, and performance-related documentation * Manage and support termination processes, restructuring discussions, separation coordination, and related documentation * Administer all leave of absence programs including FMLA, ADA, non-FMLA leave, and related leave requests * Support recognition programs including Fringe, anniversaries, and employee communication tracking * Payroll Processing & Administration * Process full-cycle payroll for multi-state workforce operations, corrections and bonus * Process and troubleshoot payroll corrections and employee payroll-related issues * Administer garnishments, child support orders, and payroll deductions * Coordinate with ADP regarding payroll processing issues, setup concerns, and system corrections * Support payroll compliance and reporting requirements * Manage and coordinate relationships with external vendors

Multi-State Compliance & Regulatory Reporting

* Ensure compliance with federal, state, and local employment laws, taxes and payroll regulations * Prepare and submit required employer reports and filings as needed to federal and state agencies * Support Department/Bureau of Labor reporting requirements * Monitor wage and hour compliance, employee classifications, and payroll-related compliance issues

Benefits Administration & 401k

* Manage employee benefits administration and employee benefit support * Lead open enrollment preparation, setup, employee communication, and coordination * Ensure benefits information is accurately reflected within payroll and ADP systems * Oversee 401(k) administration and employee retirement support

Recruiting, Talent Support & Job Structure

* Create, update, and maintain job descriptions aligned with actual duties and organizational needs * Coordinate background checks and pre-employment requirements * Coordinate onboarding processes and employee setup requirements * Ensure completion of onboarding documentation including I-9s, tax forms, payroll setup, benefits enrollment, and handbook acknowledgements

This role currently encompasses responsibilities across multiple HR disciplines, including payroll processing, compliance execution, employee relations, benefits administration, leave administration, HR systems ownership, recruiting support, onboarding coordination, and workforce administration.

The scope of responsibilities reflects a centralized HR function supporting a growing multi-state organization and includes operational ownership typically distributed across several HR and administrative roles.
